Work document detail
This full-screen window shows a work document: status, tracking, linked quotes and invoices, preview (client, equipment, description, dates, location), team and billing, then the Tasks, Items, and Timesheet tabs. You can also create an invoice, print, or archive.
Display labels (menu, titles) may be customized in workspace settings (e.g. “Work order”, “Service order”). The default is Work document / Work documents. Some fields and tabs may be hidden depending on workspace configuration.

Prerequisites
- You must be signed in to Sequentia.
- A workspace must be selected.
- Open an existing document (from the Work documents list, a quote, a ticket, etc.).
| Action | Condition |
|---|---|
| Open / view the detail | Permission to Manage work documents (list access) |
| Archive | Permission to Archive a work document; document not already archived |
| Audit trail (info icon) | Permission to View audit trail |
| Edit client, equipment, location, members, and tasks | Document not archived and status not locked |
| Edit name, description, dates, and hourly rate | Document not archived |
| Create an invoice | Document not archived; a client must be selected |
By default, Done and Cancelled are locked: you can no longer change the status, nor edit client, equipment, location, members, or tasks. Workspace settings can enable or lock other statuses.
Open the detail
- In the menu, open Management, then the entry with the workspace plural label (default: Work documents).
- Click a row in the list (active or archived).
- The detail opens full screen.
The detail can also open after creating a document, from a direct link, or from another flow (e.g. a linked quote).

Toolbar (header)
| Element | Behavior |
|---|---|
| Status chip | Shows the current status. If the status is not locked, a chevron opens the list of other available statuses. |
| Generates and downloads a PDF (hover title: Print document). A loading indicator appears during export. | |
| Archive | Visible with archive permission, if the document is not already archived. Opens a confirmation (see Archive). |
| Information (i circle) | Visible with audit trail permission. Opens the audit trail. |
| Close | Closes the detail. |

Change status
- Click the status chip (if a chevron is visible).
- Choose another status from those offered (statuses enabled in the workspace, excluding the current one).
Default statuses offered:
| Status | Label |
|---|---|
| open | Open |
| on-hold | On Hold |
| in-progress | In Progress |
| done | Done |
| cancelled | Cancelled |
Useful effects:
- On Hold: linked tickets become read-only while the document stays on hold.
- In Progress or Cancelled: linked tickets become editable again.
- Done: if linked tickets have an incomplete procedure, an Unfinished tickets window opens before applying the status (see below).
- Cancelled: an end date is saved on the document.

Unfinished tickets (moving to Done)
If tickets still have unchecked procedure steps, you must choose an action:
| Option | Effect |
|---|---|
| Ignore | No new ticket is created for remaining tasks; moving to Done continues. |
| Create multiple | A follow-up ticket is created for each selected incomplete ticket. |
| Group | (if several tickets) One ticket grouping remaining steps, on the board and status you choose. |
Closing the window without confirming cancels the status change.
Sidebar
On large screens, on the left:
Work tracking
Progress gauge (percentage), Time worked, Estimated time (or No estimate), and number of Tickets.
With no task lines or tickets: Add task lines or tickets to start tracking progress.
Quotes
List of linked quotes, with number (and revision if present) and client. Click a row to open the quote. If none: No quotes linked to this work document.
Invoices
- Create Invoice button (disabled if the document is archived).
- List of linked invoices; click to open.
- If none: No invoices linked to this work document.
To create an invoice:
- A client must be chosen on the document (otherwise a Missing Information alert).
- Confirm Do you want to create an invoice from this work document?
- The created invoice then opens.

Preview
Preview section (visibility depends on workspace settings):
| Field | Action |
|---|---|
| Name (title at top) | Editable; saved when the field loses focus. Placeholder = document type label. |
| Date / time | Creation date display (read-only). |
| Client | Opens the client picker. Also applies the client hourly rate to the document. |
| Equipment | Opens the equipment picker. |
| Description | Text editor (lists, link, files). Attachments: images, videos, audio, PDF (drag and drop or document button). |
| Start date / Due date | Date pickers. If you move the start date after the due date, the due date is aligned to the start. |
| Work location | Location picker. |
Client, equipment, and location are disabled if the document is archived or the status is locked. Name, description, and dates remain editable as long as the document is not archived.

Team and billing
Team & billing section (if Members and/or Hourly rate fields are visible):
Members
- Avatars of assigned members; add / remove unless the document is archived or the status is locked.
- Only workspace members with permission to manage work documents can be offered.
- If none: No members assigned yet. Add team members to this work document.
Billing
- Hourly rate: numeric amount (≥ 0). Editable as long as the document is not archived.
- Apply the same hourly rate to all tasks? — Yes / No.
- With Yes, the document rate applies to all lines.
- With No, each line can have its own rate (useful for quote and invoice). Hint: If you choose no, each line can define its own hourly rate for the quote and invoice.

Tasks, Items, and Timesheet tabs
These tabs appear if the billing / tasks section is visible in settings. Items and Timesheet tabs can be hidden individually. The default tab can be set in work document settings (Tasks, Items, or Timesheet).
Tasks
Line tasks & tickets list: each line is a step (text only or with a ticket).
- Reorder lines (handle / number), unless the section is disabled (archived document or locked status).
- Click a line: Add a task / Edit a task window (link or remove a ticket, name, description, estimated duration, line hourly rate, billable).
- Click the # of a linked ticket: opens the ticket detail.
- Progress area on the right: real time / estimate; click to see logged time detail.
- Add a task at the bottom of the list.
- If tickets carry items, a Create a ticket to order items action may appear (requires item selection and preparation ticket settings).
Empty state: Add a line task to group tickets, or add a ticket to create one automatically.

Items
Shows “to deliver / to affect” items from linked tickets (name, SKU, quantities Affected / To affect).
Empty state: No items.
Timesheet
Time entries linked to task lines and tickets:
- Total time recorded
- Columns: start, end, duration, note, user avatar
- Empty state: No time recorded — Time entries linked to task lines and tickets will appear here.
Read-only in this tab (time is entered elsewhere, typically from a ticket or timer).

Archive
- Click the red archive icon.
- Confirm in the Archive Work Document window (This action is irreversible.):
| Button | Effect |
|---|---|
| Cancel | Closes the confirmation |
| Archive Work Document | Archives the document only; closes the detail |
| Archive Work Document and Archive Tickets | Archives the document and linked tickets |
A success message like Work Document #… archived may appear. An archived document remains available from the Archived segment of the list, with editing largely restricted (fields disabled, no invoice creation).

Archived document
On an archived detail:
- Most fields and the tasks tab are read-only.
- The Archive button no longer appears.
- Create Invoice is disabled.
- Printing and viewing linked documents remain possible.
- Restore from this detail is not offered.
What this detail does not do
- Create a new document: done from the list.
- Restore an archived document.
- Merge tickets: the action is not exposed in this detail.
- Enter time directly in the timesheet tab: view only.
In-app help
From the Work documents page, the header help menu can open this topic (depending on what is published for the workspace). Built-in help text: Work documents group the information and files needed to follow an intervention, task, or project. The detail itself has no dedicated help icon in its toolbar.
To confirm with product
- The Create a ticket to order items action appears when tickets have items, but item selection is not visible in the current Items tab: the button often stays inactive. Confirm the intended flow (checkboxes, another screen, etc.).
- The Merge Tickets button does not appear in the detail even though labels exist elsewhere in the app. Confirm whether it should be offered to users.
- Confirm final archive button wording (English currently differs slightly from French for the “document only” option).
- To be invoiced / Invoiced statuses exist in the app vocabulary but are not offered in this detail’s picker (fixed list open / on hold / in progress / done / cancelled, filtered by settings). Confirm whether they should be selectable here.
- Confirm whether a dedicated help entry opened from the detail (help icon in the header) is needed, separate from list-page help.
