Timesheets page

This page lets you review logged time, filter it, analyze it (charts), and prepare a timesheet (preview, export, invoicing). It does not replace starting an activity: to clock in, use the Tools panel (see Choose a task).

The task / work document labels (and their plurals) can vary with your workspace settings. The interface shows the labels configured for the workspace.

Prerequisites

  • You must be signed in to Sequentia.
  • A workspace must be selected.
  • The Billing module must be enabled on the workspace — otherwise the menu item is hidden.

Open the page

  1. Open the navigation menu.
  2. Under Billing, click Timesheets.
  3. Some invoicing dialogs can also take you here.

Select tasks

  • Clickable row (list icon): label Select tasks, or N + the workspace task/tasks label.
  • Badge: number of checked tasks.
  • Disabled until at least one work document is in the selection (often auto-filled from activities in the period).
  • Opens Select one or more tasks: checkboxes per document, select all / select all for one document. Closing (X) applies the selection (no separate Confirm button).

Task selection mainly feeds the charts and the timesheet preview / export. The Table timeline and the toolbar Total use work documents (all of their tasks), not the checked task subset — see To confirm with product.

Select tickets

  • Clickable row (ticket icon): Select Tickets, or #number title, or N Tickets.
  • Opens Select one or more Tickets: search, Archived / Not Archived filter, select all, list with status and assignee.
  • If boards have time in the period but you cannot access them: message The following boards…, board names, and option Include inaccessible tickets.
  • Closing (X) also applies the selection.

Total

Shows Total: plus the filtered duration (hours / minutes), or a loading indicator while refreshing.

Settings (gear icon)

Visible only with permission to manage timesheets. Opens Timesheet settings:

  • multiple preference sets (add, rename, delete, favorite star);
  • default period (Daily / Weekly / Monthly);
  • week start (Monday / Sunday);
  • default users and default work documents;
  • Save stores preferences on your profile for the current workspace.

Preferences are remembered per workspace. The favorite preference (star) is applied when you open the page.

Charts

Activity breakdown

Title: Activity breakdown.

  • Pie chart + legend with checkboxes (color per document).
  • Other checkbox for time not clearly tied to a listed work document.
  • Unchecking a slice excludes it from related calculations (timesheet preview / estimate vs actual along the pipeline).
  • Empty state: No activities.

Estimate vs actual

Title: Estimate vs actual.

  • Compares task estimates to real time for the selection (after legend exclusions).
  • Percentage shown (green / red when over estimate).
  • Possible messages: No activities, No estimated tasks in this period, or … without estimate.

Table view (timeline)

Shown when the Table segment is active.

Period

  • Previous / next arrows (hidden for a custom range).
  • Click the date label: period filter popover (day / week / month / custom range).
  • Refresh button (disabled for ~3 s after a click).
  • If several preferences exist: preference selector (⭐ for the favorite).

In the period picker, the labels Day, Week, and Month are not yet translated to English — see To confirm with product.

When users are added, their activities for the period are loaded (with history when needed).

Activity bars

  • One row per selected user.
  • Colored bars: duration when wide enough; in day view, ticket / task when wide enough; badge for count of grouped activities (or outside day view).
  • Click a bar → Activity log.
  • Red now line if the displayed period contains the current time.

Grid navigation: in month view, click a week; in week / custom view, click a day to zoom.

Large screen

  1. Choose Timesheet.
  2. Preview builds on the left (skeleton while loading).
  3. Actions panel:
    • Download → PDF / CSV / XLSX (when a document is ready);
    • Create invoice(s) → opens invoice creation from the timesheet;
    • Edit → edit mode (FR/EN language, reorganization; Cancel / Save).

The Timesheet segment opens a document window instead of the side preview; the segment stays on Table behind it.

Work documents: automatic selection

There is no “Choose work documents” row in the toolbar.

Work documents in scope mainly come from:

  1. activities for the period / users (automatic selection);
  2. default work documents on the active preference (settings);
  3. exclusions via the breakdown chart checkboxes.

Tasks and tickets are then selected manually as above.

What this page does not do

  • Start / stop / switch a running activity: Tools panel and Choose a task / Activity log.
  • Create a work document, task, or ticket.
  • Require permission to view timesheets to show the page (only the Billing module is required).
  • Show a dedicated message when you do not have permission to manage timesheets.

In-app help

On the Timesheets page, the header help menu opens this topic. Help title: Help - Timesheets. The FAQ reminds you to pick a period then a work document to export — the current flow goes through the Timesheet view and task / ticket filters / chart exclusions.

The Choose a task and Activity log dialogs have their own contextual help.

To confirm with product

  • The permission to view timesheets exists on roles but is not applied on this page. Confirm whether access should be restricted beyond the Billing module.
  • No dedicated message is shown for users without permission to manage timesheets: confirm whether an informational message is desired.
  • Task selection: clear impact on charts and preview; the timeline and Total ignore the task subset. Confirm the intended behavior.
  • Period picker: Day / Week / Month labels appear in French even on an English interface. Confirm translation.
  • Help FAQ still mentions work-document filters while the interface mainly exposes tasks, tickets, and chart exclusions. Align FAQ copy.
  • Invoice creation / export from the preview: no invoice-management or export permission check in the preview panel itself — confirm whether guards should be added.
