Create or edit a chatroom
This dialog lets you create a new chatroom or edit an existing one: avatar, name, description, members, and accent color.

Prerequisites
- Signed in to Sequentia.
- Access to the Chatrooms page.
- Permission to create a chatroom to open the dialog (create or edit). Without it, Add a chatroom does not appear and the edit pencil is disabled.
- For a colleague to appear in the selectable member list, they need permission to enter chatrooms.
- On create: Add a chatroom is disabled when you already have more than 30 chatrooms (message: “Cannot create new chatrooms (max. 30)”). See To confirm with product.
Open the dialog
Create a chatroom
- Open the Chatrooms page.
- In the Chatrooms sidebar, click Add a chatroom.
- Dialog opens with title Create a chatroom.

On open (create), the chatroom is prefilled with:
- you already in Members;
- an automatically generated avatar;
- a random color.
After confirm, the new chatroom is saved and you are taken to it.
Edit a chatroom
- Open a chatroom from the list.
- In the chatroom header, click the pencil icon.
- Dialog opens with title Edit my chatroom.

tip
The pencil is disabled without permission to create a chatroom. Edit is not limited to the chatroom creator in the UI: anyone with that permission can open the dialog on the displayed chatroom.
Dialog fields
Avatar
- Click the image to upload a photo (image files).
- While uploading, a loading skeleton shows.
- Refresh button: Generate a new avatar — proposes a new generated avatar from the name (or chatroom id if no name yet).
On create, once the name reaches 3 characters, the default generated avatar updates from the name (unless you already uploaded a custom image).
On edit, changing the name no longer automatically replaces the avatar.

Name
- Label: Name.
- Placeholder: “SEQUENTIA team chatroom”.
- Required: at least 3 characters to enable Confirm.
Description
- Label shown: Description.
- Free text area.
- Placeholder: “Chatroom to discuss work to be done...”.
- Optional.
Members
- Label: Members.
- Multi-select via user avatar list.
- Only workspace members with permission to enter chatrooms appear.
- At least one member required to enable Confirm.
- On confirm, the chatroom creator is always kept in the member list (even if removed in the UI).

Color
- Label: Choose a color.
- Click the color button to open the color picker.
- This color is the chatroom’s visual accent (header / message area background).
Confirm or close
| Action | Effect |
|---|---|
| Confirm | Saves chatroom (create or update) and closes dialog |
| Close (X) icon | Closes without saving; on edit, local changes are discarded |
| Help (?) icon | Opens contextual help for this dialog |
Confirm stays disabled while:
- name has fewer than 3 characters, or
- no member is selected.

What this dialog does not do
- Send messages, attachments, or links (tickets, boards, etc.): that happens on the chatroom page once open.
- Archive or delete a chatroom: not available in this dialog.
- Manage permissions to create or enter chatrooms: workspace role configuration.
- Open a chatroom without enter permission: chatroom menu then shows “You do not have permission to enter chatrooms”.
In-app help
In the dialog header, the help icon opens help for Create or edit a chatroom.
To confirm with product
- “Max. 30” limit: message and button disable when you have more than 30 chatrooms (so from 31 onward). With exactly 30, creation still works. Confirm whether limit is 30 inclusive or exclusive.
- Description label is not translated to English while placeholder is. Confirm whether translations should match.
- Anyone with create permission can edit any displayed chatroom (not only ones they created). Confirm whether creator / admin restriction is desired.
- In-app FAQ says “Create a chatroom” while page button is Add a chatroom and dialog title Create a chatroom. Confirm label alignment.
